Many thanks for your reply. I didn't get a chance to try the smart folder export as Spike suggested as I was snowed under the last day, but your input does help clarify what will happen if we use that method. We do have a need to get the data off the IMAP server too.

You are right about using an another mail app. I also came up with an alternate solution last night that may work. First backup the the whole Mac mail store folder. Then in Outlook run the archive tool to archive emails older than 12months. Then last step, run an import in Mac mail for the old data which will place all the emails in an imported folder which we can rename to archived.


    The user wants to reduce the amount of email on the server they have limited space on the IMAP server and have the ability to archive old emails in Mac mail when necessary with some archival process in the future when they need to prune. This is a 10user network so one thing I have had to tell them is this IMAP server is not business grade and this coupled with Mac mail has limited functionality and data protection.

    I see large risk and service reliability in continuing to use this service. I obviously will try to help with their IMAP server but I cannot guarantee it and have recommended O or G-Suite as the only real solutions moving forward.
